Information and purposes
We collect the name, email address, preferred language and enquiry category you submit, together with optional telephone, existing membership-card number and notes. We also record your confirmation, any optional marketing consent, notice version, submission reference and processing history. These records are used to review applications, answer enquiries, contact you and administer and protect the submission service.
Providing information is voluntary. Fields marked required are needed to submit and respond to a request; without them the form cannot be processed. Optional fields can be left blank. Please do not send passwords, identity-document copies or payment-card information.
Access and service providers
Access is limited to authorised staff and service providers supporting these purposes. Website information is processed using Hostinger hosting and Cloudflare security services; notification emails are handled by Microsoft 365. These providers may process information outside Hong Kong. Existing member websites linked from this site operate separately; their privacy information applies when you visit them. This website does not obtain your legacy member-login password.
Retention
Application and enquiry records are retained for 12 months after the request has been dealt with, then deleted or anonymised by staff, unless longer retention is required by law. This policy also applies to corresponding notification emails and working copies. Retention is managed by staff; it is not an automatic deletion timer.
Optional email marketing
Only if you choose the separate, optional marketing checkbox, The P&L Club Limited may use your name and email address to send The P&L Club membership news, event invitations and offers. Leaving it unchecked does not affect your request. We do not provide this consent to other organisations for their own marketing. Withdraw consent at any time without charge by contacting [email protected].
Your requests
You may request access to and correction of your personal data by contacting our Privacy Contact at [email protected]. Please quote your submission reference if available. We may need to verify your identity before responding.
